Mission Support and Test Services, LLC (MSTS) manages and operates the Nevada National Security Site (NNSS) for the U.S. National Nuclear Security Administration (NNSA). Responsibilities

The Senior Administrative Specialist will report to the Project Planning & Delivery (PPD) Construction Project Planning and Execution Managers and will perform a wide variety of administrative functions related to key business and technical tasks, processes, and project reporting, as well as supporting the entire PPD Directorate.

Key Responsibilities
  • Manage administrative functions for the divisions including meetings, correspondences, reproduction, travel, expense reports, and office supplies.
  • Responsible for monthly project reviews by developing agendas, consolidating material and ensuring completeness, and track actions through completion.
  • Support initiative, process improvement and project integration meetings, develop agendas, prepare or consolidate material, distribute minutes and notes, and track actions through completion.
  • Assist with coordination of periodic Headquarters visits, workshops, and bidder/subcontractor vists.
  • Work independently and on teams supporting critical high visibility construction projects.
  • Requester Preparer in Oracle Fusion for task orders, Inter-Entity Work Orders, subcontracts, and office supplies.
  • Assist with cubicle and office assignments, employee moves, telephone installation and changes, and ordering computer equipment through ServiceNow and Automated Move Management system.
  • Serve as point of contact for visitors; coordinate visit requests and badging; secure meeting space and any additional logistics as needed.
  • Publish final project documents and records in company directory (iCon) through the iDAR system.
  • Develop and maintain organizational charts
  • Perform other administrative duties as required by the PPD Management Team
Qualifications

Due to the nature of our work, US Citizenship is required for all positions.
  • Bachelor's degree in related field or equivalent training and experience and at least 5 years of professional level experience, which provided a thorough working knowledge of administrative policies and procedures.
  • Be highly organized and able to utilize independent judgement and initiative to prioritize, organize, accomplish work, and meet required deadlines.
  • Ability to retain knowledge of extensive policies, procedures, terminology, schedules, personnel, and other details.
  • Possess excellent interpersonal skills and ability to communicate with internal and external contacts, representing the organization in a tactful, professional, and effective manner.
  • Ability to develop constructive and cooperative working relationships with team members and external stakeholders.
  • Proficiency in the use of software applications including Microsoft Office, Visio, and general office equipment.
  • Proficient in the use of virtual and hybrid meeting technologies, such as Teams and WebEx.
  • Ability to deal with pressure of handling multiple tasks for various managers, complaints, frequent interruptions, and time constraints.
  • Prefer knowledge or working experience with construction projects.
  • The primary work location will be at the North Las Vegas Facility.
    • Occasional travel to the NNSS, including forward areas, will be required.
  • Work Schedule will be 4/10s Monday through Thursday (subject to change).
    • Must be able to work occasional overtime, after hours or on Fridays, as needed to support project or program deliverables.
  • Pre-placement physical examination, which includes a drug screen, is required. MSTS maintains a substance abuse policy that includes random drug testing.
  • Must possess a valid driver's license.

Ability to obtain a HSPD-12 Personal Identity Verification credential under the Department of Energy Order 206.2, 'Identity, Credential, and Access Management,' and Supplemental Directive NNSA SD 206.2, 'Implementation of Personal Identity Verification for Uncleared Contractors.'

Annual salary range for this position is: $78,832.00 - $118,248.00.

Starting salary is determined based on the position market value, the individual candidate education and experience and internal equity.
